HOURS TO WORK: 5:30AM - 7:30AM – FROM HOME

9:15AM – 3:15PM – IN OFFICE

 

REQUIREMENTS/QUALIFICATIONS:

  1. Excellent verbal and written communication skills.
  2. Ability to effectively use Mac computer and other office technology.
  3. Demonstrate interpersonal skills and person characteristics necessary for effective collaboration with staff.
  4. Demonstrate confidence and the ability to maintain a professional attitude.
  5. Must have excellent record keeping and organizational skills.

 

SPECIFIC RESPONSIBILITIES

  1. Manage all staff absences for Project SCOPE, serving as the primary lead for early-morning call-offs.
  2. Work remotely from 5:30 AM – 7:30 AM to field staff communications and secure replacement coverage, followed by on-site office hours from 9:15 AM – 3:15 PM for administrative follow-up.
  3. Utilize Google Workspace (Gmail and District Location Calendars) to document absences and inform others of staffing changes.
  4. Facilitate staff orientations, maintain/create files, and manage general office correspondence and supply organization.
  5. Assist with trainings and orientation
  6. Systematically file CCCC approval letters, fee sheets, and emergency documentation, including monthly fire drill forms for each site.
  7. Collect monthly supply requests and develop comprehensive order lists to ensure all sites are equipped.
  8. Oversee end-of-school-year closing procedures, including the collection, inventory, and return of program items.
  9. Summer SCOPE Programming (Seasonal Focus)
    • Plan and execute summer field trips and guest speaker schedules, including the creation of detailed event and busing calendars.
    • Track all field trip and speaker expenses, coordinating with the Account Clerk to ensure timely payments and check preparation.
    • Ensure all summer sites conduct required emergency drills (fire, tornado, earthquake) and maintain updated emergency forms for all summer staff.
    • Author and distribute a weekly family newsletter to keep the community informed of summer activities.
